Concept of Organizational Chart

                                Every organization can be displayed in a formal structure. Organization is, virtually, the structural framework for carrying out the functions of planning, decision-making , controlling, communication and motivating aspects of the enterprise. This organization structure is also known as "Organizational Chart".

Organizational chart is understood as a schematic or graphic representation of the formal organization. The usual way of depicting/portraying a formal organization is by means of an organization chart. It is a snapshot of an organization which shows the flow of authority, responsibility and communication among various departments which are located at different level of the hierarchy. Organization charts is an important tool of management which provides information on the relationship and activities of organization participants. Basically, it is a blue print of enterprise's organization, line of authority and key position. Thus, organization chart is accepted as a pattern of network of relations between the various positions in an organization as well as between the persons who hold the position.


Definitions
              J. Batty-"An organization chart is a diagrammatic, representation of a framework or structure of an organization."

Herbert Hicks-"An organization chart is a statement of the relationship and activities we would like to have in the organization".

George R. Terry-" Organization chart is a diagrammatical form which shows important aspect of organization including the major function and their respective relationship."


Concluding the concept of organization chart, it is inferred that an organization chart is the presentation of the structure of the enterprise, its line of authority, positions, names of the executives with their respective status, communication and staff relationship. It also shows the style of supervision and control. The main aspects of the good organization chart can be identified as:

-structure of the organization
-participle line of authority in the organization
-name and status of executives holding the positions
-line of channel of communication
-line and staff relationship




Forms of Organizational Chart

What type or form of organization chart, an organization/enterprise should have,depends upon its nature and requirement. The chart can be drawn in different ways and forms. The organization charts commonly used in business field are of three types and they are:

1.Vertical chart(Top to bottom form): In the vertical chart the top person or highest person or position is shown and placed at the top and after that the next highest position is placed, and thus this process of placement of lower positions is continued till the lowest position of the lower level.


2. Horizontal chart(Right to left form):
Horizontal chart is one in which the line of authority moves from left or right. The highest position of the enterprise is shown at the extreme left and those having lesser authority  are placed towards right. So, this form of organization chart is also called left or right form. In it, the top management is place at the left side and the lowest level at the extreme of right side. It is not so popularly used.

3.Circular chart: This form of chart is expressed in circular basis. Under this form of organization chart the highest position is placed in the centre of the circle and lower and lowest positions are placed at the outer most circle.




Advantages of Organization Chart

1.Clarifies the position and relationship: Organization chart clearly tells the employees about their position in the organization and it also indicates their relationship with the superior and subordinates.

2.Shows the line of authority and responsibility: It also shows the line of authority and responsibility. All the employees whether executive or subordinates can  know their limit of authority and their respective responsibility and accountability to whom they should discharge.

3. Avoids misunderstanding: Organization chart clears the authority in such a way that it helps the organization to maintain good organizational environment by avoiding misunderstanding between the employees about the power, clearing the confusion and minimizing the conflict.



Disadvantages of Organization Chart

1.Static in nature: The main limitation is that organization is dynamic in its nature, whereas, its charts is static one. The chart becomes outdated in the due course of time. As the changes occur in the organization, frequently the chart is not revised and it is also not possible.

2.Ignores the informal relationship: Organization chart deals only with formal relationship and authority. It ignores and neglects completely the informal power and relationship.

3.Inflexibility: Organization chart is, virtually, rigid and inflexibility in its nature and it also makes the employees so rigid that they are found being conscious not to cross the limit and boundary  of their authority and responsibility.
